Privacy Policy

This policy explains how SmivIQ processes information while providing an AI-assisted dental growth and clinic operations platform. Dental clinics decide how they use SmivIQ and remain responsible for their patient relationships and clinical records.

Information we process

Depending on the features a clinic uses, SmivIQ may process clinic and business profile details; authorized owner and staff account details; patient names, contact details, and operational notes supplied by a clinic; WhatsApp messages used for clinic operations; appointment and availability information; treatment-course scheduling context; operational payment records; reminder, recall, reactivation, and recovery workflow records; communication preferences; and security, audit, and service diagnostics.

Why information is processed

We process this information to authenticate users, enforce clinic and role access, operate patient communications, answer clinic-grounded questions, support controlled scheduling actions, deliver configured reminders and follow-up, provide operational reporting, protect the service, investigate failures, and meet valid legal obligations.

Clinic and patient roles

Clinics provide and control patient operational information used through their SmivIQ workspace. Patients should normally direct requests about clinic-held information to the clinic that contacted them. SmivIQ may assist the clinic in responding and will handle direct requests through the published contact when identity and authority can be verified.

WhatsApp and AI-assisted processing

When a clinic connects an eligible WhatsApp account, messages and relevant metadata may be processed to provide front-desk workflows. SmivIQ’s AI receives bounded conversation history and only controlled operational tools. The AI has no unrestricted database access and is not a source of authoritative record identifiers. Clinical diagnosis, prescribing, X-ray interpretation, and autonomous clinical treatment decisions are outside the service boundary.

Service providers

SmivIQ may use infrastructure, authentication, database, communications, and AI service providers to operate the product. This includes Meta services when a clinic uses WhatsApp and OpenAI when configured for AI-assisted conversations. Providers process information under their applicable terms and safeguards. SmivIQ does not claim that these providers endorse the product.

Sharing

Information may be shared with the clinic that controls the workspace, its authorized staff, service providers needed to operate the selected features, and authorities where legally required. SmivIQ does not sell patient information.

Security

SmivIQ uses authenticated accounts, clinic-scoped authorization, role checks, database row-level controls, webhook signature verification, restricted operational tools, and redacted diagnostics. No internet service can promise absolute security.

Retention

Information is retained only as needed for the clinic service, security, dispute handling, and legal obligations. Specific periods depend on the data category, clinic instructions, operational needs, and applicable law. SmivIQ does not publish a fixed duration that has not been formally adopted.

Choices and rights

Patients can communicate opt-out or opt-in choices through supported WhatsApp conversations, and clinics can manage relevant preferences. Subject to identity verification and applicable law, people may request access, correction, restriction, or deletion. Some records may need to be retained where required by law or legitimate security and dispute needs.

Deletion requests

See the data deletion instructions. A request should identify the clinic relationship and enough information to verify the requester without including clinical details in the first message.

India and cross-border services

SmivIQ operates for dental clinic use in India. Some service providers may process information in other countries. Applicable safeguards and provider terms govern those transfers.
